The role

We are on the hunt for an Admin Assistant to join our small (but fun!) events team. As Event Admin Assistant you will be the primary point of contact for our new clients and provide responsive and effective administrative support to our management team, this role can be completed mostly from the comfort of your own home with at least two days per week at our office in regional Victoria 90 mins from Melbourne (southeast). Roughly 25% of the year would be spent working on location at event sites in the Metro area or travelling regional/interstate (accommodation provided when travelling)

Key responsibilities of the role include;

• Meeting with clients, compiling proposals, quotations, invoices and to assist with contracts and tender proposals

• Liaise with various suppliers to organise logistics or purchases

• Preparing all documentation for events, plans, schedules, permits etc.

• Ensuring that effective policies, procedures, plans and manuals are in place and driving the continuous improvement of these resources to enhance the delivery and professionalism of the company

• Maintaining relevant databases and systems for the tracking and coordination of events and compiling of data for management reporting. This includes (but is not limited to) incident reports, staff details, budgets and staff hours

• Liaising with stakeholders to fulfil contractual requirements, for example, Shire Council planning and traffic set up

About you

We need someone who's not afraid to take initiative and fill the gaps! The role is heavy admin based but someone who is keen to get their hands dirty when on site will be well regarded, with a tertiary qualification in sports management, event management, sports marketing project management or equivalent along with;

  • 3+ years experience in a similar capacity
  • Strong administrative, coordination and organisational skills
  • Practical working knowledge of Microsoft Office applications
  • Experience in planning and delivering events or projects
  • Strong customer service and communication skills
  • Attention to detail and ability to manage multiple tasks simultaneously
  • A sense of humour and a willingness to work some silly hours when on site!
